Job Description

The Administrative Officer will play a pivotal role in ensuring the smooth operation of day-to-day administrative tasks within the organization.This position requires a proactive individual capable of managing various duties, including document preparation,scheduling,record-keeping, and supporting organizational initiatives.The ideal candidate will possess strong organizational skills, attention to detail, and the ability to communicate effectively.

Responsibilities
♦️Maintain office organization and supplies, ensuring that all necessary equipment is functional and available.
♦️Oversee the cleanliness and arrangement of common areas.
♦️Create, update, and manage files and records, both digital and physical, ensuring confidentiality and easy retrieval.
♦️Prepare and distribute internal communications, documents, and reports as required.
♦️Manage the organization’s calendar, scheduling meetings, appointments, and events.
♦️Prepare meeting agendas, take minutes, and distribute them to relevant participants.
♦️Arrange logistics for events and meetings, including booking venues, setting up audio-visual equipment, and coordinating refreshments.
♦️Act as the first point of contact for visitors and inquiries, providing friendly and efficient service.
♦️Answer calls, manage emails, and handle correspondence efficiently.
♦️Assist with the preparation of internal newsletters, updates, and other communications.
♦️Provide administrative support to various departments and teams as needed.
♦️Assist with project documentation, tracking deadlines, and reporting on progress.
♦️Facilitate the coordination of training programs, workshops, and other events.
♦️Assist with basic financial tasks, such as processing invoices, tracking expenses, and handling petty cash.
♦️Manage office inventory, reorder supplies as needed, and maintain accurate stock records.
♦️Serve as a liaison between different departments, fostering communication and collaboration.
♦️Build and maintain relationships with vendors and service providers to ensure reliable and cost-effective service delivery.

Requirements
♦️Interested candidates should possess a Bachelor’s Degree with 2-3 years experience.
♦️Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office software.
♦️Strong organizational skills and the ability to multitask.
♦️Excellent written and verbal communication skills.
♦️Problem-solving skills and the ability to work both independently and as part of a team.
♦️High degree of professionalism, discretion, and confidentiality.
